Project Context & Objectives

PT. Bee Solution Partners required a unified, high-reliability mobile experience for remote and hybrid teams across Indonesia. The existing process forced distributed engineers and consultants to log into two separate, sluggish web portals every single day.

The Friction Points & Core Challenges

  1. The Double-Login Penalty: Workers logged into Portal 1 for daily presence check-ins, and Portal 2 for project hour timesheets. This duplicate step caused missed submissions and cumulative frustration.
  2. Grainy Laptop Webcams: Browser-based facial capture suffered from a 22% scan failure rate in low-light environments, leading to false absent marks.
  3. Severe HR Chasing Overhead: HR spent 14 hours every week manually emailing staff to finalize timesheet submissions before month-end billing closures.

Tactical Architecture & Unified Mobile Flow

We redesigned the entire journey around human habits and incentives:

  • Speed-Optimized Morning Check-In: Native smartphone cameras and embedded facial recognition trigger immediately, authenticating identity in under 10 seconds.
  • Evening Timesheet Gatekeeper: Tapping Check-Out prompts staff to confirm daily task allocations first. Only upon timesheet submission does the camera authenticate evening check-out—guaranteeing 100% submission compliance naturally.
  • Automated WhatsApp Notification Bot: Integrated webhook triggers to alert staff of pending approvals or shift confirmations without requiring them to keep the app open.
